Registering your institution on Ekati

What a school needs before it starts, and how the registration form works.

Registration starts at /apply/signup, where you create the administrator account that will own the school, and continues on /apply, a seven-step wizard that describes your institution. When you submit it, Ekati reviews the file — normally within 48 hours — and creates your school with the plan you chose. Nothing is charged during registration; the subscription comes afterwards, from your administration portal.

Two things make this easier than it sounds. First, the wizard explains itself as you go: each step names its own progress, and everything you have already entered can be corrected at any time before you submit. Second, most of the form is prepared for you — academic years, classes, subjects and fee structures arrive prefilled from your programme type, so what you actually do is check them against reality and adjust what differs.

And if you cannot finish in one sitting, the form remembers where you stopped. Come back the next morning and it opens on the first step you had not completed.

From sign-up to a working portal in eight steps

One account, then a wizard you can pause at any point.

  • Step 1

    Create the administrator account

Full name, email, phone number, password and confirmation, then the six-digit code sent to that address to verify it.

  • Step 2

    School information

School name, proprietor, email, phone, address, the programme you run and, if you are a primary school, the levels you teach. You can attach documents here.

  • Step 3

    Academic years

Your year and its terms or sequences, with dates. Arrives prefilled; add, rename or remove until it matches your calendar.

  • Step 4

    Classes

Add each class as its own row — Form 1A and Form 1B separately — so fees, subjects and report cards stay per class.

  • Step 5

    Courses

Subjects with a title, an optional code, whether they are core or transversal, and a coefficient or credit value. Arrives prefilled.

  • Step 6

    Fee structure

One total per class, cut into instalments with names in both languages and due dates. The instalments must add up to the total.

  • Step 7

    About your institution

Logo, cover image, the description parents will read in English and French, and your website address.

  • Step 8

    Summary and submit

Your whole profile exactly as registered, the terms to accept, then Submit Application. Credentials follow by email once the file is validated.

What to have ready before you start

Twenty minutes of gathering saves an hour of hunting.

The details of the school itself

The exact name of the school, the proprietor or head’s name, an email address and a phone number that a person reads, and the full postal address. That address becomes the school’s public contact details later, so write the one families will recognise, not the shortest possible form.

The programme you run

The form asks what kind of institution you are — a university, a vocational training centre, a basic education school or a secondary school — and, if you are a primary school, whether you teach nursery, primary or both. It also asks your sub-system: anglophone, francophone or bilingual. These two answers shape every list that follows, so they are worth getting right rather than guessing.

Documents you may attach

Registration accepts up to ten files — a registration document, a ministry decision, an attestation, a lease — in PDF, JPG, PNG or Word format, up to about 5 MB each. Attach them here rather than by email: they stay attached to the file being reviewed.

Your academic calendar

Before you open the form, write down the names of your academic year and its terms or sequences, and the dates. The wizard prefills a standard calendar you then adjust; knowing your real one turns that step into a two-minute check.

One fee grid per class

You will need, for at least one class, the total annual fee and how you want to collect it. Two instalments named in both languages is enough to start; you can refine the amounts in the portal afterwards.

Working through the wizard

Eight steps, a progress bar, and no dead ends.

You start at 20%

The progress bar begins at 20% because the administrator account is already behind you — the page says so, and it is not vanity: you genuinely did the hardest identity step first. From there, each step adds its share.

Each step validates before it lets you move on

A step will not complete until what it requires is filled. Fees are the strictest: the instalments must add up to the total exactly, or the step refuses to move and says the instalments must add up to the total. That is deliberate — a fee grid that collects a different amount from the one it advertises breaks every later report.

Corrections are safe, deletions are not always

You can go back to any step you have reached and change what you typed. What you cannot always do is remove an entry that other steps already depend on: a year used by a fee structure, or a class used by one, must be emptied of that dependency first. The page says which dependency is in the way instead of failing silently.

About your institution is optional and worth doing

The logo, cover image, description and website address never block your submission. They are, however, the first thing a parent sees on your public profile, and a description written twice — once in English, once in French — is what makes that page worth reading. Do this step while you are in the flow.

Agree and submit

The last step repeats your whole profile exactly as registered, gives you a link to the terms, and asks you to accept them. Tick the box, press Submit Application, and the page confirms that the application was received and will be reviewed within 48 hours, with your login credentials sent once validated.

Institution registration questions

Asked by proprietors and head teachers in their first week.

  • What do I need to register my school on Ekati?

Enough to identify the school and to describe how it runs: its name, proprietor, address, phone, email, the programme and sub-system it belongs to, its academic year and terms, its classes, its subjects, one fee grid per class, and optionally a logo and a description in both languages.

  • How long does it take to get my school created?

Ekati reviews the application and normally answers within 48 hours. Once the file is validated, your administrator login details are sent to the email address you registered, and you sign in to the administration portal to subscribe to your plan.

  • I do not know all my classes yet. Can I apply anyway?

Yes, but you need at least one year, one class, one subject and one fee grid with instalments to submit. The wizard prefills a full standard set from your programme type, so the fastest route is to keep what is prefilled and remove later — you can add classes and subjects at any time in the portal.

  • Do I pay anything to register?

No. Registration, the wizard and the review are free. The subscription to your plan is a separate step taken from the administration portal once your school exists, paid by MTN Mobile Money or Orange Money.

  • I started the form and stopped. Where was I?

The form remembers your draft. Return to /apply with the same account and it reopens on the first step you had not completed, with everything you had entered already filled in. Nothing has to be typed twice.
