Configurations: the settings that belong to your whole school

One screen for the identity your school prints, publishes and gets paid with.

Configurations is where a school’s identity and its standing details are set, once, so that everything else comes out looking like the same institution. The logo on a fee receipt, the watermark across a report slip, the description at the foot of your public website, the mobile money number that receives your store revenue — each is typed here a single time and then reused everywhere it is needed.

Three people use it. The proprietor or head of school owns the identity and the wording. The bursar keeps the payout numbers correct, because those are the numbers money actually moves to. The secretary rarely needs it at all once the branding is done — which is the point, because a setting applied once removes the daily question of whether today’s receipt was printed with the right logo.

The screen is three tabs. Receipt covers what gets printed for money and for results. Web profile covers what the public sees about your school. Payouts covers where your store revenue is transferred, and only the institution administrator of that school sees it.

The three tabs and what each one is for

Set each one once and stop thinking about it.

  • Tab 1

    Receipt

The logo, the watermark, the footer message, and which layout is used for receipts, report cards and certificates.

  • Tab 2

    Web profile

The cover image, the logo, the About description in English and French, and whether the school’s website is published.

  • Tab 3

    Payouts

One destination number per mobile money method, with the balance waiting on each and the minimum before a transfer happens.

Branding that lands on everything you print

Three fields, and the difference they make at the counter.

The logo goes at the top of the page

Set it in the Receipt tab. Every receipt the school issues afterwards — a family paying fees at the counter, a receipt re-downloaded months later — carries it, together with the school’s name, address and the learner’s details, the instalment being settled, the cashier who took the money and the signature lines.

The watermark protects the paper

A faint image across the page is the cheapest insurance against a printed receipt ending up as evidence in a dispute. Set a watermark and it appears behind the content of every document the school prints, light enough to read through and visible enough to recognise from across a room.

The footer message is the last thing a family reads

The footer sits under the signature lines, which makes it the one part of the receipt you can use for anything. Most schools use it for the bank details, the complaint procedure, or a reminder about the next due date. Write it once here and it prints on every document, in the same place, forever.

Clearing a value without clearing the others

Each image can be removed on its own, and the footer message can be emptied. Removing one leaves the others exactly as they were, so replacing a logo with a new one does not cost you the watermark or the footer you spent an afternoon writing.

Choosing which layouts get printed

One school, three very different documents.

Receipts, report slips and certificates are not the same document

A receipt proves money was received and must carry the details a family will need in a dispute. A report slip carries a learner’s term results and its ranking. A certificate attests that something was completed. The three layouts are therefore chosen separately on this tab, and each is designed on its own screen.

Point this tab at the right layout, then stop

Design the three layouts on Slips & Certificates Design, then come back here and choose which one is used by default for receipts, for report cards and for certificates. Learners’ results continue to flow into the slip you chose, so choosing it once here is the last step — not a recurring decision.

The brand still applies to all of them

Whatever layout you pick, the logo, the watermark and the footer message from the previous section print with it. That is the point of keeping them separate: you can change the layout of your certificates without touching a single branding field.

A layout nobody has tested is a layout nobody should issue

Before pointing this tab at a new layout, print one. A long school name, a very long learner’s name and a long course title are the three things that break a report slip, and only a printed page shows you that.

Where your store money is paid out

The one tab where a typo costs you money rather than dignity.

One destination per mobile money method

The Payouts tab lists the methods your school can be paid by — MTN Mobile Money and Orange Money — with one phone number each. Enter the number that genuinely belongs to the school, mark it active, and that is where the store revenue goes.

The tab tells you whether a transfer is close

Beside each method you see the balance currently available and the minimum amount before a transfer happens. When the available figure reaches the minimum, the line is ready and the weekly transfer follows. A school that only ever watches this tab will never be surprised by a transfer it did not know was coming.

Read it before the number, not after

A transfer to the wrong number is slow to notice and hard to reverse. Check the number on this tab against the school’s contract with its operator before the balance builds up, rather than trying to trace it afterwards.

Fee income is not on this tab

The balances here are store revenue only — money from courses and books sold through Ekati. Money families pay for school fees never appears here; that is collected at the counter and recorded in Payments, and the two are counted separately on purpose.

Configuration questions

Asked by whoever is handed the job of branding a school.

  • Where do I change the logo printed on receipts?

In Configurations, on the Receipt tab. Set it there and every receipt the school issues afterwards carries it. The same logo is used on your public website and on printed documents, so you set it once rather than once per document.

  • Why can I not see the Payouts tab?

Because it belongs to the administrator of your school, not to its bursar. It holds the mobile money number money is actually transferred to, so it is restricted to the account that owns the school. Ask the institution administrator to open it and confirm the numbers.

  • I changed the mobile money number. When does it take effect?

The next transfer goes to the new number. Transfers already made are not recalled, and the balance waiting does not move backwards. So change the number before the balance reaches the minimum rather than the morning you expect a transfer.

  • Does the fee structure appear in Configurations?

No, and it should not. A fee structure is a price you decide and can change every year; the settings here are the identity and standing details that do not change. Prices live in Finance, terminology lives in your website settings, and everything on this screen is the kind of setting you set once and then leave alone.

  • Do I need a watermark if we already have a logo?

The two do different work. The logo identifies the school; the watermark makes a loose sheet recognisable as yours from a distance, which matters most for documents that leave your desk and can end up separated from the file. Schools that hand out paper receipts at the counter get the most from it.
